PROCESS FOR SUBMITTING FIELD TRIP FORMS
Beginning with the 2024-2025 school year the Trumbull Public schools has a new field trip process. Although the process is similar, it has now been automated to improve communication and approvals across departments. Field trips requiring school bus transportation will now need approval from the transportation department before final approval by the assistant superintendent. This will help ensure that busing is available for your trip prior to final approval. Throughout the approval process you will receive automated notifications from the system via email. Completing the Form
The person requesting the field trip (requestor) needs to click here to submit “New Google Form”
Please adhere to the timeline for submitting Field Trip request forms:
- 30 days prior to the date of trip for in-state day trips
- 90 days prior to the date of trip for out-of-state trips, overnight trips, trips to foreign countries. (These require BOE approval)
If requesting school bus transportation with times that are considered route interfering (before 8:30 a.m. or after 2:00 p.m.), the requestor must look at Transportation Calendar. The district is not allowed to schedule more than 4 route interfering buses on any given school day. To expedite processing, we encourage the requestor to look at the calendar to be sure that date is available ahead of time. Transportation requests will be denied once 4 route interfering buses have been assigned for that day and schools will need to seek alternate transportation or pick a new date.
Please fill out all sections of the Field Trip request form. Leaving information out could delay the approval.
The sections for teachers, cost and financing, and transportation must be completed in order for the appropriate arrangements to be made with HR, Business Office, and Transportation Office. If you are not requesting subs or transportation, please note N/A (not applicable) in those sections.
Please include the purchase order number for all appropriate expenses.
Approval Processing
Once you have submitted your google form, please notify your school office and Principals/Department Heads as soon as possible so they can go into the form response sheet and approve your request electronically.
You will receive automated email notifications at each step of the approval process. All approvals are now done electronically. The approval process is outlined below

Step 5 Notification - Once a field trip has final approval: teacher, secretary, principal, and school nurse are all notified via an automated email.
Once the field trip is approved by the Assistant Superintendent (and BOE, if applicable), Cathy Bostley will notify the person(s) requesting the field trip, the school secretary, and the Transportation Department. Additionally, any requests for substitutes will be entered into Frontline.
Additional Steps (if applicable)
Online Payments: If you are requesting online payments for parents to pay the field trip costs, the first step in this process is for the requestor to complete the online payment google form. Please note online payments will NOT go live until final approval of the field trip is recorded by Dr. Iwanicki.
BOE Approval: For requests requiring BOE approval, the request will be presented at the next BOE meeting after Principal and Transportation approval. Staff may be asked to attend Board meeting to present the field trip at the designated meeting.
